Administration

Who We Are?
The Administration Department is a support department that provides services to UNRWA program departments; The Department consists of Personnel, Training, Administrative Services & Information Technology. A total of 64 staff work in Administration under the leadership of field administration officer (FAO).
Personnel:

•Recruit and hire staff as contractors or daily paids
•Provide information to staff members on entitlements & benefits under the Staff Rules
•Establish & maintain up-to-date Personnel records and files for the Agency’s 3000 staff
•Coordinate & follow-up on periodic reports for staff
•Advise on salary advances and loan requests
•Administer the Agency’s Group Medical Insurance
•Manage service incurred accidents and employees' compensation claims.
•Administer employees’ leave requests (annual, sick, maternity, and special leave with or without pay)
•Assist in compensation studies of salary reviews
•Process overtime, transfer requests, etc…
•Administer separation benefits
•Organize the termination of work, and retirement of employees as well as job redundancies when appropriate
Administrative Services:

•Coordinate with the local authorities for issuance of Residence Permit & Diplomatic Cards for staff
•Mail services, including the diplomatic pouch
•Travel arrangements for official duty including clearances, visas, hotel reservations
•Telephone communications, including PTT, mobile phones, electricity, water
•Issuance of UNID & UNLP for staff members
•Maintenance of Field Office equipment/furniture & inventory items
•Provision of supplies to Area and Camp Services Offices
•Cleaning services at the Field Office
•Shipment/transportation of personal and household effects to/from Lebanon.
•Maintenance and repair of office machines
•Process Special Service Agreement
Security:

•Handle the security of UNRWA local and international staff
•Process access and identification cards
•Conduct security related trainings
•Operate an operations room 7 days a week
Information and Communication Technology:

•Exercise adequate control & management of UNRWA-ICT (Information and Communication Technology) resources
•Administer, troubleshoot, maintain, upgrade as and when needed and provide support to the Network infrastructure (Hardware and Software)
•Maintain all Hardware which includes PCs (Personal Computers) and all related peripherals
•Install, troubleshoot and maintain UNRWA standards Software and Operating Systems
•Provide support to all Centralized Systems
•Provide support and maintenance to communication facilities
•Provide user training and help related to the use of UNRWA standard Software
•Assist Users to design, create and develop users Databases
Training:

•Assess staff needs in terms of trainings at the beginning of the year
•Design a yearly plan that meets the staff’s needs
•Incorporate UN-related, business management trainings for improved work performance
•Develop language study programs (English & Arabic)
•Coordinate with HQ’s Training Coordinator for the execution of large-scale training programs
•Develop criteria for selection of nominated staff
•Carry out new-hire orientation workshops in coordination with field departments
•Develop seminars & workshops aimed at promoting sound & healthy lifestyles
•Coordinate required external trainings for UNRWA staff
